Healthcare staffing, minus the credential fire drills.
Travel nurses, per-diem RNs, allied health, locum tenens, clinical research. One Zoho system that tracks every license, wins the VMS submittal race and fills tonight’s shifts without a spreadsheet.
Why healthcare staffing is unlike any other desk.
Most staffing verticals sell a person. Healthcare staffing sells a person plus a file, and the file is the product: 15 to 30 live documents that all have to be green on the day the shift starts. You’re selling compliance and speed at the same time, to buyers who grade you on both in the same hour. That’s why generic ATS setups break here, and why this page is about wiring, not willpower. We have run desks like this ourselves, chasing titers and fit tests on our own placements, so the fixes below come from the desk, not from a demo script.
An ACLS card expires this weekend.
Nobody has noticed yet.
In most agencies that discovery arrives from the client, after a clinician is already off the floor and the hours are already unbilled. In your agency, the re-upload link went out by text 60 days ago.
The hours you lose without a system.
One expired card mid-assignment eats a week of billing.
A working nurse file is 15 to 30 live documents: RN license, BLS/ACLS/PALS, TB titers, fit test, drug screen, facility modules. One expired ACLS card pulls a clinician off the floor, and every hour off the floor is an hour nobody pays you for.
CREDENTIALING CYCLES AVERAGE 90-120 DAYS · TALENTPATHWAY
Every day in the clearing queue costs you the candidate.
46% of hospitals take 10+ days just to reach committee review. The candidate who said yes signs with whoever clears them faster, and the fee walks out with them.
46% OF HOSPITALS TAKE 10+ DAYS TO REACH COMMITTEE REVIEW · TALENTPATHWAY
The hour you spend assembling PDFs loses the req.
Reqs hit the VMS feed and the first complete, compliant packet usually wins. Your team is still merging documents while a competitor submits. That hour of assembly is the whole margin between won and lost.
FIRST COMPLETE PACKET WINS THE REQ
Per-diem scheduling burns a coordinator’s whole day.
Credentialed, facility-approved, non-fatigued clinicians matched to same-day shifts across multiple facilities, with overtime and consecutive-shift rules on top. Done by whiteboard, it’s a full-time job that still misses shifts.
MULTI-FACILITY · SAME-DAY · FATIGUE RULES
One red file can cost a year of the account’s revenue.
A Joint Commission or client file audit finds a single red file, and the relationship, plus everything it bills, is suddenly on the table.
ONE RED FILE = ACCOUNT AT RISK
A traveler who leaves silently costs about 87 days of revenue.
If the next assignment isn’t lined up 2 to 4 weeks before contract end, they sign elsewhere. Refilling an RN seat takes around 87 days, and the seat bills nothing while you look.
~87 DAYS TO FILL AN RN POSITION · NSI NURSING SOLUTIONS, VIA AAG HEALTH
The same week, on the system we build.
Same desk, same week, with the wiring in place. Every hour named above gets handed to the system: the pipeline that blocks red files, the shift board that fills weekends by text, the onboarding packet signed from a phone with no re-keying in between. Whatever isn’t pictured here gets its answer, line by line, in the table below.
The pain, and the wiring that removes it.
| The pain | The Zoho fix |
|---|---|
| Credential and license expiry | Recruit custom Credentials module (doc type, issue/expiry, state) + Flow alerts at 60/30/7 days + candidate portal re-upload + Sign attestations |
| Slow time-to-clear | Recruit Blueprint stage-gating: a candidate physically cannot reach “Submitted” until the checklist is green, plus automated doc-chasing by email and SMS |
| VMS submittal race | Flow parses inbound VMS emails → auto-creates the job → Zia matches credential-complete candidates → one-click packet merge |
| Per-diem shift chaos | Workerly: shift scheduling, availability calendars, conflict and overtime checks, mobile geofenced clock-in |
| Audit exposure | Analytics compliance dashboard where any red file triggers an alert; exportable audit binder per client built in Creator |
| Redeployment gaps | Flow trigger at T-30 before contract end → recruiter task + Zia-suggested next assignments while the traveler is still mid-assignment |
| Rate and stipend complexity | Creator rate-card app per facility contract (bill rates, on-call, holiday multipliers, GSA stipends) feeding Workerly timesheets → Books |
| Timesheet-to-invoice friction | Workerly e-timesheets with client approval portal → auto-invoice through Books |
The night shift that never calls in sick.
Credential Guardian
Watches every live file, texts clinicians re-upload links at 60/30/7 days, and blocks submittals on red files automatically. No more discovering an expired card from an angry client.
Redeployment Radar
Flags every traveler 30 days from contract end with matched next assignments, so your recruiter opens the extension conversation while the traveler is still mid-assignment.
Exclusion-List Sentry
Runs the monthly OIG/SAM sweep across your entire active roster and opens an incident task the moment anything hits, so your compliance lead sees it first, not the client.
Four scenes, told by the log file.
A VMS req arrives. The packet is out within the hour.
Flow parses the inbound VMS email, creates the job in Recruit, and Zia shortlists credential-complete clinicians from your own database. Your recruiter’s job is one look and one click. The first complete, compliant packet usually wins the req, and this week it’s yours.
The credential sweep runs while you sleep.
Credential Guardian walks all 214 active files overnight. Two ACLS cards and a TB titer go amber; re-upload links are texted before breakfast. One submittal is held on an expired fit test, flagged to the recruiter instead of discovered by the client.
The weekend per-diem board fills by text.
Workerly matches credentialed, facility-approved, non-fatigued clinicians to the weekend’s shifts. Overtime and consecutive-shift rules apply automatically, offers get accepted by SMS, geofenced clock-in is ready on site. Nobody’s evening gets burned making calls.
Approved hours become invoices. Travelers get calls at T-30.
Client-approved e-timesheets flow into Books with facility rate cards, stipends and holiday multipliers applied by rule. Meanwhile Redeployment Radar has six travelers ending inside 30 days matched to fourteen open reqs, so the extension calls happen while each traveler is still on assignment.
Measured live, not remembered at month-end.
Time-to-submit: VMS req to complete packet, in hours not days, on a stopwatch per req
Time-to-clear: offer to credentialed start; the 90-to-120-day industry cycle (TalentPathway) is the number to beat
Credential compliance: files green across the active roster, live, before the auditor asks
Redeployment rate: travelers extended or re-placed before contract end, triggered 30 days out
Clearing-queue drag: share of hospitals taking 10+ days to reach committee review (TalentPathway); your doc-chasing runs daily
Days to refill an RN seat (NSI Nursing Solutions, via AAG Health): the cost of every traveler who leaves silently
Eight Zoho apps, one clinician database.
Zoho Recruit · Staffing edition
The core ATS+CRM: jobs, clinicians, client facilities, submittal pipelines with Blueprint compliance gates, formatted resumes, client portal for feedback.
Zoho Workerly
The per-diem and shift engine: shift allocation, availability, mobile clock-in with geofence, e-timesheets with facility e-approval, invoice generation.
Zoho Creator
The gap-fillers generic ATSs cannot do: credential taxonomy, per-facility rate cards, exportable client audit binders.
Zoho Flow
The wiring: VMS email parsing, 60/30/7 credential alerts, T-30 redeployment triggers, Checkr and job-board webhooks.
Zoho Sign
Offer letters, facility agreements, credential attestations, BAAs. Signed and auto-filed per placement.
Zoho Books / Invoice
Workerly timesheets become invoices per facility contract rules; weekly payroll runs regardless, so DSO tracking lives on one dashboard.
Zoho Analytics
Compliance %, fill rate, time-to-submit, margin per hour, with Ask Zia natural-language queries for the numbers between reports.
Zoho Campaigns
Clinician re-engagement and seasonal surge pools: winter census, strike staffing, school-year cycles, warmed before the req exists.
…and the rest of Zoho One
Bookings for interview slots, SalesIQ website chat, Desk, Vault, WorkDrive. 45+ apps on the same login, already paid for.
The math, worked in the open.
A 12-person healthcare agency: 8 recruiters, 4 ops, running ~150 clinicians on assignment.

Straight answers, in writing.
Can Zoho really track 15 to 30 credentials per clinician with different expiry dates?
Yes. We build a custom Credentials module in Recruit with document type, issuing state, issue and expiry dates, and status. Flow workflows alert at 60/30/7 days, clinicians re-upload through the candidate portal, and Blueprint blocks any submittal with a red file. This is configuration we have done before, not a promise.
We get jobs through VMS feeds. How does Zoho connect to Fieldglass or Beeline?
Through the integration layer: Flow parses inbound VMS notification emails, auto-creates the job in Recruit, and Zia matches credential-complete candidates immediately. For deeper two-way VMS work we build a Creator/Flow bridge, scoped and priced before we start, so you know exactly what it costs.
Will this survive a Joint Commission file audit?
The system is built for it: every credential is dated, sourced, and attached to the clinician record, and a Creator app exports a complete audit binder per client on demand. Compliance dashboards show any non-green file in real time, so you find the gap before the auditor does.
What about HIPAA and clinician health records like immunizations and drug screens?
Zoho supports role-based access, field-level security, and audit logs, and hosts on its own data centers. We configure access so credential documents are visible only to the roles that need them, and we work within your BAA requirements with clients.
We do both travel contracts and per-diem shifts. Do we need Workerly and Recruit?
For per-diem, yes. Workerly is the shift engine (scheduling, clock-in, timesheets, invoicing) and is priced per temp (~$59/mo for the first 25, ~$1.50/temp after), not per recruiter. Travel contracts can run in Recruit alone. We size the licensing to your actual mix in the Staffing Systems Review.
