Three ways in.
One system underneath.
Every engagement builds on the same foundation: Zoho One + Zoho Recruit Staffing Agency edition, plus Zoho Workerly for temp desks. What changes is how much machinery we build on top. Climb from any tier to the next without starting over.
Implementation is quoted fixed after the review, before any commitment.
Software prices are Zoho’s current published USD list prices.
The workflow first. The technology last.
Whichever tier you land on, the order of operations never changes. We’re staffing people who build systems, so every engagement runs in the same sequence.
We understand your business first
How the firm makes money, where work gets stuck, and what people do manually that they shouldn’t. We’ve run recruiting businesses, so this is a short conversation, not a discovery project.
We design the workflow
Before anything gets configured. And we’ll challenge process that doesn’t earn its keep, because an inefficient workflow automated is just a faster inefficient workflow.
Then Zoho builds it
The platform comes third on purpose. It gets shaped around the workflow, never the other way around.
Automation and AI come last
Only where they genuinely remove work. The system carries the routine; your people make the decisions.
A clean system you can live in.
The desk runs out of spreadsheets, inboxes and a free ATS trial nobody ever configured. You don’t need automation theatre. You need a proper toolset, set up right, fast.
So that’s exactly what Launch is. We deliberately leave heavy automation out: at this size it adds cost and complexity before it adds value. You get a well-configured system, not a science project, and every piece is the foundation the next tier stands on.

Let’s scope it on a call. Fixed quote after the review.
Stop doing manually what software should do.
There are real departments now, or at least real hats, and the cracks between them are where placements die: re-keyed data, missed handoffs, timesheets chased by phone, a tracking spreadsheet nobody trusts.
Accelerate closes the cracks. Everything in Launch across your whole team, plus the migration, the integrations and the automation that ends double-entry.
- ✓Full data migration from Bullhorn, Crelate, JobDiva or spreadsheet sprawl, deduplicated, mapped and verified against source counts before cutover
- ✓Zoho One deployed: CRM for sales, Books for invoicing, Sign for packets, Campaigns for nurture, Analytics for dashboards
- ✓Zoho Workerly for temp desks: shift scheduling, mobile clock-in, client timesheet approval, timesheet-to-invoice into Books
- ✓Automation where it pays: deal won → job order created with client, rate and terms; one-click onboarding packets; timesheet reminders and invoice chasing the system sends for you; redeployment alerts 3 weeks before contract end
- ✓Integrations: job boards, accounting (Zoho Books, or a QuickBooks bridge if your accountant insists), telephony via PhoneBridge, Checkr background checks
- ✓Department dashboards: recruiter leaderboard, submittal funnel, AR aging, pipeline
- ✓Team training by role, plus 60 days of post-launch support
Worked example · a 10-person agency
≈ $12,800/yr. The same agency on Bullhorn: ~$2,650 to $3,150/mo. On a Salesforce/HubSpot/QuickBooks/DocuSign/Tableau stack: ~$4,569/mo.
Let’s scope it on a call. Migration complexity and integration count set the number. Phased so your desks never stop billing.
Agents on the payroll.
For firms that already run clean process, or will once we’ve built Accelerate underneath, and want the routine categories of work carried for them: the parsing, the drafting, the chasing, the watching of dates. The agents carry the routine; your people make the decisions. Software alone doesn’t fix an agency; a well-built system plus agents, run by a team that stays in charge, is the multiplier.
Named agents, piloted first
Zia matching, screening assistance and AI-drafted outreach on your data, plus custom agents we name and demo before you sign: a Credential Guardian, a First-to-Submit engine, a Redeployment Radar.
Built for your edge cases
Custom Creator apps for backdoor-hire tracking, credentialing registers, commission engines, VMS-lite portals, plus a Zoho MCP connection so assistants like Claude work your CRM under user-scoped OAuth.
An executive command center
Revenue and GP by service line, GP per producer, fill rate, DSO, client concentration, redeployment rate. One dashboard, drill-down per department, Monday digest to leadership.
Same software stack as Accelerate; AI usage is metered by Zoho and its pricing is still settling, so every agent runs a paid pilot before you commit it to production. We put that in writing. Quarterly optimization reviews for the first year.

Review → Blueprint → Build → Automate → Support
Staffing Systems Review: free, 45 to 60 minutes
A business conversation with people who have run recruiting businesses. We talk about how the firm makes money, where work gets stuck, your current stack and what you’re actually paying per producer. You leave with written findings and the cost math, whether or not you hire us. No slideware, no obligation.
Blueprint: fixed-fee design
Before anyone builds anything, we design it: module map, pipeline definitions, migration plan, automation list ranked by ROI, integration inventory, and a fixed implementation quote. If you walk away here, you own the blueprint.
Build: configure, migrate, verify
We configure the system to the blueprint and migrate your data, deduplicated, mapped and verified against source record counts before cutover. Your desks keep billing throughout; we cut over in phases, never on a Friday.
Automate: ship the machinery
Automations and agents go live one at a time, each measured against a baseline. Anything that doesn’t save real time gets turned off. We’d rather delete an automation than defend one.
Support: keep it improving
Training by role, documentation your team will actually open, and a support window scaled to your tier. Autopilot clients get quarterly reviews: what shipped, what it saved, what’s next.
Questions agencies actually ask us.
Is Zoho Recruit included in Zoho One?
The Corporate HR edition is, but that’s built for internal hiring, capped at 10 to 20 active jobs, with no client modules. Staffing agencies need the Staffing Agency edition ($25 to $75/recruiter/mo), which is licensed separately from Zoho One, as is Zoho Workerly. Our quotes always show it as “Zoho One + Recruit Staffing edition (+ Workerly for temp desks)”. If a proposal you’re comparing doesn’t, ask why.
Do we really have to license every employee on Zoho One?
On the $37 All-Employee plan, yes. It’s contractual and Zoho audits it. That’s usually still the cheapest path. If fewer than roughly 40% of your staff need seats, the $90/user/mo Flexible plan can win instead. We run both calculations in the review.
Can you migrate us off Bullhorn, Crelate or spreadsheets?
Yes, it’s the core of most Accelerate engagements. Candidates, clients, contacts, job orders, notes, documents and placement history, deduplicated and verified against source counts before cutover. Complex migrations are why Accelerate quotes vary; you’ll know your number after the blueprint.
How long until we’re live?
Launch: 2 to 3 weeks. Accelerate: 6 to 10 weeks, phased. Autopilot: 12 to 16 weeks for the initial build, then agents ship iteratively. Your desks keep working in the old system until each phase cuts over.
Do the tools we already love keep working?
Yes. They plug straight in via native integrations, Zoho Flow and open APIs. Apollo and ZoomInfo for B2B data, LinkedIn Recruiter and Sales Navigator, Checkr for background checks, your payroll bureau or funding partner, Canva. They all keep their place and connect to the system of record. Consolidate what’s redundant, connect what’s irreplaceable. If you’re an MSP-heavy firm living in Fieldglass or Beeline feeds, we’ll tell you in the review exactly how far the Creator/Flow connection approach carries your volume. Honestly.
Our accountant lives in QuickBooks. Problem?
No. Two honest paths: move to Zoho Books (it handles staffing invoicing well, including timesheet-to-invoice from Workerly) or keep QuickBooks and bridge it via the Marketplace extension or Zoho Flow. Books has a smaller accountant ecosystem than QuickBooks. We say that up front and let your accountant weigh in during the blueprint.
Can you guarantee the AI features?
We guarantee what we pilot. Zia’s parsing, matching and scoring are shipping today; the broader agent platform is still rolling out and Zoho hasn’t finalized AI usage pricing. So we don’t contractually commit you to any agent until it’s proven on your data in a paid pilot, and we put that in writing. Distrust anyone selling you AI outcomes sight unseen.
Can we start with Launch and grow into Autopilot?
That’s the design. All three tiers run on the same foundation, so nothing gets thrown away when you climb. Launch’s configuration becomes Accelerate’s base, Accelerate’s automations become the rails Autopilot’s agents run on. You buy the rung you need today.
