Hospitality staffing,
minus the no-shows.
Event staff, banquet servers, chefs, hotel housekeeping, retail associates and contact-center agents, placed on a Zoho system that confirms every shift three times, backfills the silent ones automatically, and knows which workers actually show up.
Why hospitality staffing is unlike any other desk.
The plated dinner is tonight and two servers just went silent. That is the whole business: you sell reliability by the shift, and the client measures it at the service entrance. Every order competes with gig apps that book in one tap and pay the same day. The agency that can prove its crews show up wins the rebooking, and the rebooking is where the margin lives. We have staffed nights like that ourselves and taken the silent-server call at the service entrance, which is why this page is about confirmations, not promises.
The hours you lose without a system.
The no-show you learn about from the client.
The top causes are unclear shift details, no confirmation process, and workers juggling gigs who simply forget. It is a process problem, not a people problem, and it costs you the client’s trust the same night it happens.

An afternoon of calls for every panic order.
“We need 12 more servers before the doors open.” Matching role, uniform, alcohol cert, location and reliability from a spreadsheet and a group text eats your whole afternoon, and the gig apps fill the order while you dial.
MINUTES-TO-FILL IS THE WHOLE GAME
$4,700 or more every time an hourly worker walks.
Hospitality hourly churn runs around 63% a year, and event staffing turnover reaches 70 to 80%. Each replacement costs $4,700+ by industry benchmarks; Cornell’s hotel study puts the average at $5,864. Retention machinery is margin, not soft stuff.

Quiet weeks quietly drain the pool.
Every silent stretch sends workers to whichever platform pays faster. Rebuilding the bench afterwards costs recruiter days you never bill, at $4,700+ per worker you failed to keep.

Shortages are now an event-delivery risk you carry.
89% of event professionals say staffing shortages directly affected event delivery. Clients are not comparing you to other agencies anymore; they are comparing you to not running the event.

“Send us the same crew” takes a day of digging.
Who worked it, who rated well, who is free. If that answer lives in memory and old emails, assembling it takes hours, and your best client hands the next date to whoever answers first.
REBOOKING IS WHERE THE MARGIN LIVES
The same week, on the system we build.
Same orders, same clients, same chaos coming in. Here is what each of those six time-eaters looks like once the wiring exists.
Silence gets caught the night before
Every shift is confirmed three times, with map, call time and dress code. When a worker goes quiet at T-24h, standby offers fire automatically. The gap is closed before the venue knows there was one.
The panic order becomes a broadcast
Twelve more servers before the doors open. Workerly broadcasts to the matched, certified, geo-near pool; the first accepts auto-book and the waitlist auto-promotes. Fill time is measured in minutes, not an afternoon of calls.
Workers stay, because staying is easy
One-tap accepts, self-serve availability and fast-pay integrations close the two gaps that lose you people to gig apps: booking friction and pay speed. Reliability scores decide who gets premium shifts first.
Quiet weeks run a re-engagement engine
Campaigns keeps the pool warm between seasons on a schedule, so a slow stretch stops meaning a rebuilt bench and another $4,700 replacement bill.
Event day is a live view, not a gamble
Geofenced check-ins light up as the crew arrives. A late gets flagged early and the floating server is redirected before plating. Fill and show are tracked separately, so you can prove reliability instead of promising it.
“Same crew again” is one click
Ratings flow into the reliability model after every event, and per-client favorites answer the question that wins repeat business, with last event’s top-rated staff pre-selected for the next date.
No-shows caught the night before the event.
No-Show Shield
A three-touch confirmation cadence at booking, T-24h and T-3h, with map and dress code, plus automatic standby activation the moment a worker goes silent. The gap is filled before the venue knows there was one.
Same-Day Shift-Fill Agent
Texts matched, certified, geo-near staff the moment a gap opens and books the first yes straight into Workerly. Fill time measured in minutes, not phone calls.
“Same Crew Again” Rebooking Bot
One click rebooks last event’s top-rated staff for the client’s next date, which is exactly what your best clients keep asking for.
Stated plainly: Zia Agent Studio usage is metered and Zoho AI pricing is still settling. We pilot agents before you commit to them. No slideware.
Every pain has a wiring diagram.
| The pain | The Zoho fix |
|---|---|
| No-shows on event day | Workerly shift confirmations + Flow SMS cadence at booking, T-24h and T-3h, with map and dress code; anyone unconfirmed triggers auto-backfill from the standby list |
| Same-day, high-volume fills | Workerly shift broadcast to the matched, certified, geo-near pool; first accept auto-books; waitlist auto-promotes |
| No reliability data | Creator reliability-score model covering shows, lates and client ratings, surfaced right in matching, with per-client favorites lists |
| Pool churn and gig-app competition | Workerly worker mobile app + self-service portal, Campaigns re-engagement between seasons, fast-pay integrations |
| Multi-venue conflicts and OT | Workerly conflict detection, overtime rules and availability calendars |
| Certification tracking at scale | Cert module with expiry workflows; matching filters exclude uncertified workers from alcohol-service shifts automatically |
| Event-day communication chaos | Flow-triggered broadcasts of call times, parking and dress code; geofenced check-in with a live supervisor view |
Nine Zoho apps, one worker pool.
Workerly is the visible centerpiece for this vertical; everything else feeds it or bills from it. One database underneath all nine.
Zoho Workerly
The centerpiece: shift creation and broadcast, availability calendars, conflict and OT checks, mobile clock-in with geofencing, e-timesheets, client approval, invoice generation.
Zoho Recruit, Staffing edition
Pool building and vetting, cert records, client and contact management, temp-to-hire pipelines for retail and support desks.
Zoho Creator
The reliability-score engine: shows, lates and client ratings rolled into a rank that decides who gets offered premium shifts first.
Zoho Flow
The confirmation cadences, standby escalations and event-day broadcast machinery.
Zoho Campaigns
Pool re-engagement between seasons, so workers do not drift to the gig apps during quiet weeks.
Zoho Books / Invoice
Event and weekly billing straight from approved timesheets. Markup applied, reminders scheduled.
Zoho Analytics
Fill rate vs show rate, per client and per venue, on one screen. The numbers this desk lives by.
Zoho Sign
Onboarding packets, venue agreements and rate confirmations, executed and filed without printing anything.
Zoho SalesIQ
Inbound client chat on your site, answered while your coordinators are on the floor.
One pool, one system, honest lines.
A realistic 12-person event and hospitality staffing agency: 8 recruiters and coordinators, 4 ops and leadership, roughly 300 active temps in the pool.
The usual stack, same agency
Staffing platforms with real shift scheduling and middle office land at $165 to $315 per user per month, plus add-ons. The Franken-stack alternative, an ATS plus a scheduling app plus QuickBooks plus DocuSign plus Zapier glue, runs $500 to $1,000 per producer per month, and still does not share one database.
The same jobs, on Zoho
~$15,786 a year. Footnotes, because we would rather you trust the math: (1) Recruit’s Staffing Agency edition and Workerly are both licensed separately. Neither is inside Zoho One, and both are always their own lines in our tables. (2) Workerly is per temp with unlimited recruiters and jobs. (3) Current US list prices, annual billing, directory-verified; confirm with Zoho before contracting. (4) Add-ons such as portal licenses, SMS credits and Zia usage commonly add 10 to 30%.

Straight answers, in writing.
Is Workerly included in Zoho One?
No. Zoho One explicitly excludes Workerly, and it excludes the Staffing Agency edition of Recruit too. Zoho One carries only the corporate-HR flavor. Both are separate lines on our cost tables, always. Workerly is priced per temp with unlimited recruiters, which is why the math still works out well for shift businesses.
Can it really fill a shift by text message?
Yes. Workerly broadcasts the shift to workers who match on role, certification and availability; the first accept books automatically and the rest get stood down. Flow handles the SMS legwork. Your coordinator watches a board instead of working a phone tree.
How do you handle alcohol-service and food-handler certs?
As structured records with expiry dates, not PDFs in a folder. Expiring certs trigger re-upload requests to the worker’s portal, and the matching filter simply will not offer an alcohol-service shift to someone whose permit has lapsed.
We compete with Instawork and Qwick. Does this actually help?
It closes the two gaps that lose you workers: booking friction and communication. The Workerly mobile app gives workers self-serve availability and one-tap accepts; fast-pay integrations address pay speed. What it will not do is subsidize wages the way venture-funded apps do. We would rather say that here than after you have signed.
What about fair-workweek and ACA compliance?
Scheduling data lives in one system, so predictive-scheduling notice periods, reporting-time triggers and ACA variable-hour tracking are reportable instead of reconstructable. We configure the reports for your states; your counsel confirms the rules.
The departments behind this desk have pages too.
The middle office runs your confirmations and certs; the back office turns approved timesheets into money. Both are mapped end to end.
