IT staffing, minus the slow submittals.
Developers, cybersecurity, cloud and network engineers, data analysts. A Zoho system that ranks your own database while the req is still fresh, and never lets a renewal slip past T-45.
Why IT staffing is unlike any other desk.
In tech staffing you sell scarce judgment, and the database is the product. The margin lives in knowing, before anyone else does, which of 1,204 profiles actually ran Kubernetes in production and which one watched a video about it. Speed decides who gets the interview, but memory decides who keeps the revenue: renewals, roll-offs and redeployment are where a tech desk’s P&L is really written. A system that ranks, remembers and nags is worth more than another job-board subscription. We have run tech desks ourselves and watched renewals slip for want of a nag, which is why the wiring below looks the way it does.
The req just went to five agencies.
The clock is already running.
The first 2 or 3 quality submittals get the interviews. In most agencies the next hours go to keyword search across 200 applicants. In your agency, the shortlist is already ranked.
The hours you lose without a system.
Screening 200 applicants burns the hours that win reqs.
Keyword-stuffed resumes make “used Kubernetes once” look identical to “ran it in prod”, and your recruiters spend whole afternoons proving the difference instead of submitting.
87% OF EMPLOYERS REPORT DIFFICULTY FINDING RIGHT-SKILLED CANDIDATES · MGT.US
Losing the submittal race costs the entire fee.
The req goes to five agencies at once and the first 2 or 3 quality submittals get the interviews. Specialist desks submit inside 48 to 72 hours. Every hour of assembly past that line is a fee handed to a competitor.
NATIONAL AVERAGE TIME-TO-FILL: 44 DAYS · SHRM RECRUITING BENCHMARKING REPORT
A missed renewal is run-rate straight off your books.
No systematic T-45/T-30 motion means surprise roll-offs, lost monthly billing, and consultants getting poached at exactly the moment they are most reachable.
EVERY UNRENEWED CONTRACT IS RUN-RATE OFF YOUR BOOKS
Redeployment failure is the biggest leak nobody measures.
Average firms redeploy about 3% of ending consultants; the best run past 70%. Every consultant who rolls off unplaced is a placement fee you already earned once and gave back.
~3% INDUSTRY AVERAGE VS 70%+ BEST-IN-CLASS · CS RECRUITERS
Margin negotiated away costs points you never see leave.
Without live spread visibility, recruiters give points to close, and you find out at month-end when the quarter is already priced.
SPREAD PER HOUR, VISIBLE ONLY AT MONTH-END
Re-sourcing your own database means paying twice per candidate.
Years of resumes with no freshness signal, so recruiters buy job-board access to find people already sitting in the ATS. You already paid to meet them once.
YOU ALREADY PAID TO MEET THEM ONCE
The same week, on the system we build.
Same desk, same week, with the wiring in place. The screening hours go to the machine, the stopwatch sits on every stage, and the calendar books its own interviews. Whatever isn’t pictured here gets its answer, line by line, in the table below.
The pain, and the wiring that removes it.
| The pain | The Zoho fix |
|---|---|
| Skill-matching noise | Zia AI candidate matching with semantic scoring beyond keywords, resume parsing and deduplication in Recruit, structured skill taxonomies |
| Speed race on hot reqs | Flow: job-in → Zia shortlist → recruiter approves → auto-formatted branded submittal; SLA timers on every Blueprint stage |
| Renewals slipping | Assignments module with end dates → Flow tasks at T-45/T-30 → renewal pipeline in CRM that nags until signed |
| Redeployment failure | Roll-off report in Analytics + Zia matching of ending consultants against open reqs, auto-alerted to account managers |
| Margin blindness | Analytics margin dashboard per placement, client and recruiter, fed live from Recruit and Books |
| Ghosting and fall-offs | Cadenced SMS/email touchpoints via Flow between offer and start, then day-1/7/30 check-in sequences |
| Stale database | Zia re-engagement scoring + automated “still available?” campaigns through Campaigns |
| Visa expiry surprises | Custom visa/EAD fields with scheduled Flow alerts, tracked exactly like credential expiry, because it is one |
The recruiter who reads every resume.
First-to-Submit
Parses a new req, ranks your entire database, and drafts submittal summaries so a recruiter’s job is approval, not assembly. Under an hour from req to packet.
Renewal Watch
Opens a renewal opportunity 45 days before every contract end and keeps nudging both the account manager and the client until it is signed. No more surprise roll-offs.
Bench-to-Billing
Matches every rolling-off consultant against open reqs and emails the shortlist before their last day. The machine that moves you from 3% redeployment toward the 70% the best firms run.
Four scenes, told by the log file.
The req lands. The ranked eight are ready within the hour.
First-to-Submit parses the req, ranks 1,204 database profiles and drafts eight submittal summaries with evidence notes. Your recruiter approves, and the branded packet goes out inside the 48-to-72-hour window that wins interviews, while the req is still fresh.
Four renewal deals open at T-45, ready for your AMs.
Every assignment end date feeds a renewal pipeline in Zoho CRM that nags the account manager and the client until signed. Silent clients get a cadence nudge after three days. Your consultants stop getting poached at roll-off, because roll-off stops being a surprise.
Two consultants roll off. Five matched reqs are already out.
Bench-to-Billing matches every ending consultant against open reqs and emails the shortlist to both AMs before the last timesheet is in. The bench never sits, and the redeployment tile creeps from the 3% industry average toward the 70% the best firms run.
You read margin live, and the database stays warm.
The Analytics dashboard shows spread per consultant hour by placement, client and recruiter, before points get given away rather than at month-end. Meanwhile a “still available?” Campaigns sequence refreshes 300 stale profiles you would otherwise re-buy from a job board.
Measured live, not remembered at month-end.
Time-to-submit: req in to packet out; the specialist benchmark in hours, on a timer per Blueprint stage
Redeployment rate: 3% is average, 70%+ is best-in-class (CS Recruiters); this tile shows where you sit
Renewal / extension rate: contracts renewed before roll-off, tracked from day 45 out
Spread per consultant hour: live margin per placement, client and recruiter
Time-to-fill vs the 44-day national average (SHRM): the baseline a specialist desk should embarrass
Skill-scarcity pressure: employers reporting difficulty finding right-skilled candidates (MGT.US); your counter is a warm, ranked database

Bullhorn, JobDiva and most competitors are quote-only; figures are market-reported ranges and they discount at volume.

Straight answers, in writing.
Can Zia matching actually beat keyword search on technical roles?
Zia scores candidates semantically and contextually against the req rather than counting keyword hits, and it runs on your own database first. It pairs with your technical screen rather than replacing it: it turns 200 applicants into a ranked eight with evidence notes, so your screening hours go to the right five.
We’re on Bullhorn. What does migration look like?
Structured export → cleansing and dedup → staged import of candidates, clients, jobs, placements, and notes, with parallel-run before cutover. We have migrated agencies from Bullhorn, Crelate, and pure spreadsheets. The migration plan comes out of the Staffing Systems Review, priced fixed, before you commit.
How do you track visa status, like H-1B transfers and OPT end dates?
Custom fields on the candidate record with scheduled Flow alerts ahead of every expiry, same pattern as any credential. Submittals can be gated on work-authorization status so a recruiter never finds out at offer stage.
Do we need Workerly if we run hourly W-2 contractors?
It is optional but usually covers its own cost quickly: e-timesheets with client approval flow straight into invoices, priced per contractor (~$59/mo for the first 25, ~$1.50 each after), not per recruiter. If you are corp-to-corp only, skip it; we size it in the Staffing Systems Review.
What does the AI actually cost to run?
Zia Agent Studio build and deployment is currently free, with model usage metered (prepaid credits or your own API key). Zoho has not fixed final AI pricing, so we will not quote you a firm number. We pilot agents on a metered budget you approve first, and you see the consumption before scaling.
