Trades staffing, minus the
credential chaos.
Electricians, welders, plumbers, HVAC techs and construction crews, dispatched through a Zoho system that verifies every license before the offer, blocks expired certs from the schedule, and turns timesheets into certified payroll without a weekend of spreadsheets.
Why trades staffing is unlike any other desk.
This desk sells verified licences at a gate that turns people away. Every fill is tested twice: once by a market that is structurally short of qualified tradespeople, and again by a gate guard checking cert cards at first light. A placement that clears both is a billable day; one that fails either is an unbilled day and an angry GC. The whole business is the depth of your verified bench. We have dispatched crews ourselves and watched a wallet card decide a billable day, so the fixes below start at the cert record, not the job ad.
The hours you lose without a system.
The pool is the product, and the pool is empty.
530,000+ skilled trade positions sit unfilled in the US, and 92% of construction firms report difficulty finding qualified workers. Roughly 600,000 trades jobs get posted a year against ~150,000 apprenticeship entrants. Every order you cannot fill is revenue that walks.
530K+ · REMARCABLE · 92% · AGC-ADJACENT · 4:1 · FABTECH
Hours per fill, verifying from a filing cabinet.
You cannot sub a laborer for a journeyman. Trade, license state, class and cert currency all have to check out, and doing that by pulling paper copies turns every dispatch into a research project.
POOL DEPTH IS THE LEADING INDICATOR
A worker turned away at the gate is an unbilled day.
No cert card, wrong PPE, missed site orientation. Day-one readiness failures are entirely preventable and entirely common, and each one costs a day of billing plus a GC who remembers.
GATE-READY IS A CHECKLIST, NOT A HOPE
One bad recordable year reprices your comp.
Construction trades carry the highest workers-comp rates in staffing. Your EMR is a number clients ask for and your renewal is priced on, and a repriced policy can erase the year’s profit. Safety documentation is what defends it.
EMR IS A SALES NUMBER AND A COST NUMBER
A spreadsheet weekend per prevailing-wage project.
Davis-Bacon and state prevailing-wage projects demand classified rates, fringe calculations and WH-347 certified payroll. Done by hand, that is hours of work per project, every single week the project runs.
WH-347 · EVERY WEEK · EVERY PROJECT
The GC hires your best welder, and the fee walks.
Without conversion terms tracked per client and an alert when a placed worker’s assignment ends at a client with buyout language, poaching is just a cost of doing business. Each missed conversion is a full fee gone.
FEES INVOICED VS CONVERSIONS THAT WALKED
The same week, on the system we build.
Same orders, same gates, same prevailing-wage paperwork. Here is what each of those six money-eaters looks like once the wiring exists.
The verified bench answers the shortage
Trade-segmented pools with license, class and expiry on every record, fed by wallet-card uploads through the candidate portal. In a market this short, the bench itself becomes the thing you sell.
The filing cabinet becomes a query
Six journeyman electricians for a data-center site. The pool query filters 19 licensed in-state down to 14 with current OSHA-30, 11 inside the drive radius. Mobile offers go out and six accepts arrive in 38 minutes, while your dispatcher is at dinner.
Everyone clears the gate
The night-before SMS confirms cert cards, PPE and site docs. One silence pings a standby that evening, not at the turnstile. Geofenced clock-ins confirm the whole crew on site, and six billable days start on time.
The safety file builds as work happens
Orientations, toolbox talks, incident reports and PPE issuance logs land in the Creator safety app as they happen, and Analytics turns them into the EMR story your clients ask for and your comp renewal is priced on.
Certified payroll runs weekly, not all weekend
Forty-two timesheets flow from Workerly into the Creator payroll app: classifications applied, prevailing rates and fringes calculated, WH-347 exported. Invoices leave Books with per-diem and travel lines attached. Nobody works the weekend.
The buyout invoice has a signature behind it
Conversion-fee terms live on the client record, and a Flow alert fires when a placed worker’s assignment ends at a client with buyout language. The fee conversation happens on time instead of never.
The dispatch board, worked overnight.
License-Wallet Agent
Every tradesperson’s licenses and cert cards digitized, verified and expiry-tracked. Expired means automatically undispatched, before it becomes a liability event.
Dispatch Matchmaker
Matches trade, license state, certs and drive radius to the job site and sends mobile offers in minutes, not a morning of phone calls.
Certified-Payroll Engine
Turns Workerly timesheets into classified, fringe-calculated certified payroll for prevailing-wage jobs, every week, without the spreadsheet marathon.
Stated plainly: Zia Agent Studio usage is metered and Zoho AI pricing is still settling. We pilot agents before you commit to them. No slideware.
Every pain has a wiring diagram.
| The pain | The Zoho fix |
|---|---|
| License and cert verification per trade and state | Recruit trade-license module (trade, jurisdiction, class, expiry) + verification workflows + wallet-card uploads via the candidate portal |
| Expired certs slipping through | Flow alerts at 60/30/7 days; Workerly scheduling block, so an expired cert physically cannot be booked onto a matching shift |
| Dispatch logistics | Workerly job-site scheduling matching trade, license state, certs and drive radius; mobile offers; site-transfer tracking |
| Safety documentation and comp exposure | Creator safety app: orientations, toolbox talks, incident reports, PPE issuance logs; Analytics dashboards feeding your EMR story |
| No-shows and early quits | Confirmation SMS cadence + geofenced clock-in + standby dispatch, the same machine that works in light industrial |
| Client poaching | Conversion-fee terms tracked per client in CRM; Flow alert when a placed worker’s assignment ends at a client with buyout language |
| Prevailing wage and certified payroll | Creator certified-payroll app: classification rates, fringe calculations, WH-347 export, fed directly by Workerly timesheets |
| Day-one readiness | Pre-dispatch checklist automation: cert cards, PPE and site docs confirmed by SMS the night before |
Eight Zoho apps, one dispatch board.
Two Creator builds, the safety app and the certified-payroll app, carry the trades-specific weight. Everything else is the spine that feeds them. One database underneath all eight.

A realistic 15-person trades staffing firm: 9 recruiters and dispatchers, 6 ops and leadership, about 250 tradespeople on assignment.
The usual stack, same firm
The Franken-stack of ATS, scheduling tool, QuickBooks Online Plus at $140 a month, DocuSign and Zapier glue runs $500 to $1,000 per producer per month, with your compliance records scattered across all of it.
The same jobs, on Zoho
~$19,518 a year. Footnotes, because we would rather you trust the math: (1) Recruit’s Staffing Agency edition and Workerly are licensed separately. Neither is inside Zoho One, which carries only the corporate-HR flavor of Recruit. (2) Current US list prices, annual billing, directory-verified; confirm with Zoho before contracting. (3) Add-ons commonly add 10 to 30%. (4) The safety and certified-payroll apps are Creator builds scoped in your implementation. That is where the trades-specific value is, and it is work, not a toggle.
Measured, not felt.

Straight answers, in writing.
Can Zoho really do certified payroll?
Not out of the box, and we say that up front. Workerly produces the timesheets; a Creator app we build applies classifications, prevailing rates and fringe calculations, and exports WH-347. It is a scoped build in Accelerate or Autopilot, and once built it runs weekly without the spreadsheet marathon.
Is Workerly included in Zoho One?
No. Zoho One excludes Workerly, and includes only the corporate-HR edition of Recruit. The Staffing Agency edition is a separate per-recruiter license. Both appear as separate lines in our cost tables, always.
How does the cert blocking actually work?
Certs live as structured records with expiry dates. Flow fires reminders at 60/30/7 days and requests wallet-card re-uploads through the candidate portal. If a cert lapses, Workerly’s scheduling rules block that worker from shifts requiring it. The dispatcher physically cannot book an expired forklift or electrical cert onto a matching job.
We run per-diem crews on traveling projects. Can it cope?
Yes. Rate rules handle per-diem and travel lines, site-transfer tracking follows crews that move mid-week, and Books carries the billing detail. Permanent-tax-home documentation stays between you and your accountant; the system keeps the records straight.
What stops a GC from hiring our people around us?
Nothing stops it, but the system makes sure you get paid. Conversion-fee and buyout terms live on the client record, and a Flow alert fires when a placed worker’s assignment ends at a client with buyout language, so the invoice conversation happens on time instead of never.
The departments behind this desk have pages too.
The middle office runs your certs, checklists and safety file; the back office turns approved timesheets into invoices and certified payroll. Both are mapped end to end.
